Sales and Convention Services Staff Includes:
Depending on the size and type of event. and the lead time in booking your event, you will work with one of our Group Account Managers or with a Catering Manager. Once on site, our Convention Services Department will assist you with all the remaining issues relating to meetings, exhibits and banquets. Your Catering Manager will continue to assist you with changes and modifications to guest room details.
Banquet & Meeting Rooms:
As other groups may be utilizing the same room as you prior to or following your function. please adhere to times agreed upon. Generally, all meeting rooms are set up two hours prior to the function.
Function Room Arrangements:
Function rooms are assigned by the number of persons anticipated and the requested set-up. The Drawbridge Hotel reserves the right to change function space based on actual anticipated attendance.
Room Rental Charges:
Space rental will be based on sleeping room nights consumed, and/or food and beverage functions. Drawbridge must provide all food and beverage in function rooms.
Advance Deposits / Credit and Billing:
A credit card must be on file for guarantee purposes at the point of booking. For all social and other certain events, a deposit will be due with the returned signed contract. Full payment in advance for all charges
will be due one week prior to event. The deposit is non refundable if cancellation occurs after the signed contract has been received. All bookings are considered tentative until the deposit is received and the contract is signed and returned.
Decoration:
In accordance with the Kentucky fire code. no open flame is allowed: however, enclosed candles (i.e glass globes. hurricane lamps) are fine. The hotel prohibits the use of nails. push pins. lacks, masking tape, etc. on event room & hallway walls. Glitter and sparkles may not be used for decorating. Additionally, we ask that colored paper napkins. etc. not be placed on tables covered by hotel linens. We appreciate your cooperation. Any damage incurred will be the responsibility of the person in charge of the function.
Security:
The hotel does not assume responsibility for the damage or loss of any merchandise or articles left in the hotel prior to, during, or following an event. Arrangements for storage of exhibits, merchandise or articles for display can be made prior to the planned event based on space availability. It is the responsibility of the planner to pay for private security when needed.
Guarantee:
The Drawbridge requires your menu selections and meeting room requirements at least three weeks in advance. Please advise us in advance of special dietary requirements. If total count decreases 25 percent or more, the Catering Office must be notified no later than seven days prior to the function. The Hotel requires a final guarantee three business days (72 business hours) prior to your function, not subject to reduction. The Hotel will be prepared to set up and serve 5 percent over your guarantee or up to a maximum of 25 persons, whichever is lower.
Music:
Musicians, bands or DJ's (union or nonunion) will be booked by the person in charge of each event, and will be solely their responsibility. For your guests' convenience, we urge bands to set up prior to the function. The band will be responsible for the set up and removal of all equipment immediately following the function. The two lobby entrances are to be used by musicians. We are not responsible for any loss or damage of Band or DJ equipment. Bands and DJ's must provide their own sound system for music.
Deliveries:
The hotel can provide personnel to load and/or unload trucks upon request with advance notice. An appropriate service charge will be added. Hotel personnel can not lift or move any items weighing over 200 Lbs.
Audio Visual:
A wide selection of the latest technology in audio visual equipment and services is available on a rental basis. Please contact the Catering Office for details. Free WiFi is available throughout the hotel.
Food & Beverages:
Gourmet and special menu items may be arranged in advance. No food and beverage, alcoholic or otherwise, shall be brought into our banquet and meeting rooms by patrons from outside sources. All bars will close no later than 2:00 a.m. A service charge of 20% will be added to all food and beverage menu prices. This total is then assessed the 6% Kentucky sales tax. The minimum service charge is $20.00 per server or 20%, whichever is greater.
Any group that qualifies for Kentucky state sales tax exemption should submit their Certificate of Exemption form and number prior to the date of the function. Menu prices, service charge, and tax are subject to change.
